TERM AND CONDITIONS

For joining our trip we would like you to fill out our Reservation Form as detailed below, but beforehand please make sure you have read, well-understood, and agreed with all the conditions on our Term and Conditions.

Insurance
All our costumers are insured with the following liability:
1. Personal Accident : USD 20,000.00
2. Accident Medical Expenses, Emergency Evacuation
And Repatriation of remains : USD 100,000.00
3. Personal Liability : USD 50,000.00

Taxes
Airport departure taxes are not included in our quotations except specially requested. Airport departures taxes vary based on the policy of local government and are subject to change. These taxes can be paid directly at the airport upon departure. Hotel rates quoted in our package have been included the prevailing government tax and service charge, and should there any alteration on these taxes we reserve the right to adjust the rates accordingly.

Rates
All rates quoted are in US Dollars net, non commission-able, and we do not guarantee currency rates or any quotation where currency conversion is included.
API Tours reserves the right to amend the rate at any time without prior notice if local conditions force us to do so, like considerable change of fuel price, electricity, labour cost and etc. that are beyond our control, as well as significant fluctuation on the local currency against the US Dollars
It is possible if you would like to settle the tour price with other currency, where you will be advised upon confirmation the equal amount you should pay against the said US Dollars price, surely this will be determined based on the up-date exchange rate.

Children rates apply as follows:
Under 2 years of age : Free of charge
2 – 10 years of age : is charged 75 % of adult rate
11 years and up : considered as adult and will be charged full-rate

Validity
Rates quoted here are set to be valid only until March 31 of the following year, and we would be ready with rate for the onward seasons by November of this year. So if your travelling date is beyond the validity period, you may request for an ad-hoc rate.

Reservation
Inquiries and reservations of all services shown here should be made through API Tours at the latest 14 days prior to the scheduled travelling date, in order we would have enough time to arrange the every things properly. This can be made either by email, facsimile or giving us a call within our working days and hours.
In order to guarantee the booking we would require a deposit 50 % of the total tour price upon confirmation, and the balance to be settled the latest one week prior to the date of arrival. Different conditions apply during high and peak season period, according to the policy of hotels involved in the package.

Payments
Payment may be made by telegraphic transfer or bank draft, and may also be made by company or personal valid credit cards. Funds must be transferred to the bank account of API Tours and comply with payment provision. API Tours shall be entitled to claim for, and receive, payment of any expenses incurred, in addition to full settlement with interest, for any unpaid amount with respect to services provided.

Transfers and Tours
All our land transfer and tour are with private Air Conditioned car except for certain areas like Camp Leaky and Papua will be provided non-AC car, and included luggage handling fees, all admissions to the tourist objects mentioned in the itinerary, donations wherever required and parking fees.

We will provide qualified English speaking guides to conduct the tours, and if you would like to have guide speaking other than English will be subject to availability and possibly with an extra cost. Meals included are as indicated in the tour itinerary: B= Breakfast, L=Lunch, D= Dinner. For breakfast in particular, mostly hotels provide American breakfast, some provide Continental breakfast with additional for American breakfast, and some even Indonesian Breakfast like fried rice and noodles. For other meals (lunch and dinner), some restaurants provide buffet and many based on set menu featuring local food or a mixed between Indonesian and Chinese food. If you are allergic to certain food, please give us a note when making the reservation so that we can make our preparation properly.

Hotels
We base our program on hotels that we frequently used for our clients during our years of service in the area. Mostly middle class hotels, or in the event of overnight in the remote areas which are not well developed yet, where there are not many choices, we quote based on the best available hotel/ lodge in the area. The stay will be based on sharing double or twin bed, and single occupancy is possible with additional indicated as single-supplement price.
In-room facilities commonly include Air Conditioner except indicated as fan-cooled, private bathroom with shower, water basin, sitting closet, and some hotels with private balconies.

Air Ticket
The prices mentioned on our tour itinerary are covering the land cost only and do not include cost of flight, however, information on the air ticket prices are provided separately along with the updated flight schedule.

Tour Leaders
Services are provided free charge for the tour leader of a group with minimum 15 full-paying paxs. The arrangement is complimentary except for the airfare and airport departure tax and is limited to maximum one tour leader per group. In most cases hotel usually extend complimentary only on half-twin basis for 15 full-paying pax, so he will need to pay additional indicated as single-supplement for single occupancy. For group of more than 30 pax it maybe negotiable to get complimentary on single/ double room basis.

Cancellations and Refund
We API tours do not levy cancellations charges. However, hotels, restaurants, and other contractors do charge cancellation fee depending on how many days prior to the scheduled date the trip is cancelled, and also no-show fee. In order to avoid this cancellation fee advance notification is required at least one month prior to the trip for group booking and two weeks for individual booking. In case cancellation/ no-show fee charged due to fail to provide us with advance notification as specified, it will be debited to you. No refund or reduction will made for unused portion of a tour or not part taking in meal, sightseeing or accommodation during the course of a tour unless notified in advance.

Liability
We API Tours acts only in our capacity as an agent for hotels carriers, transportation companies, and other contractors. Therefore, we can not be held responsible for any losses, damages, injuries, delays, change of schedules or irregularities which are arising from circumstances beyond our control. And we reserve the right to change any arrangement with or without prior notice if found to be the best for all parties concerned.
